CLTA appointments fall under the Policy and Procedures on Academic Appointments and therefore should follow the process outlined in the section on recruitment.
CLTA appointments are full-time appointments made at professorial ranks from Assistant Professor (Conditional) to Full Professor. Normally these appointments are for one, two or three years’ duration to a maximum of five years. Extensions to initial contracts can be made once (and may not exceed a total of five years) and require the approval of the Vice-President and Provost. Please note that the five-year maximum applies to any appointments an individual may have as a CLTA at the University, not simply within the current hiring unit.
Appointments of one or two years must follow the recruitment process outlined but they do not require Provostial approval. However, copies of all letters of appointment must be provided to the Office of the Vice Provost, Faculty & Academic Life. Those of three years or more will follow the process outlined in the section on recruitment and require Provostial approval.
Regardless of the start date, notice of termination must be given by December 31 of the final appointment year.
Contractually Limited Appointments and Maternity Leave
The details regarding entitlement to the maternity/parental and adoption benefits are set out in detail in PDAD&C #33, 2003-04. If a faculty member’s appointment is for a defined term that ends before the paid, or “top-up” portion of a maternity/adoption/ parental leave would end, funding of the “top-up” ends on the last day of the appointment. The University is not obligated to extend a term contract to the end of the maternity/adoption/parental leave (paid or unpaid portions), and the candidate must receive appropriate notice that their contract is to terminate on its previously agreed upon end date.
In the event that a faculty member whose appointment is for a defined term takes a maternity/adoption/parental leave within the contracted period of employment, the University’s policies do not require extending the term of the contract to reflect the time taken on leave. It is permissible for the division to extend the contract until the end of a teaching term if required for academic planning purposes but limited-term contracts should not be extended beyond the maximum number of years provided under the policy. (E.g., for contractually limited term appointments [CLTA]: five years; for lecturer: four years unless there is an intention to review for promotion to Senior Lecturer).
Most spousal/partner appointments are contractually limited appointments at appropriate rank. This may also include term limited appointments at the rank of Lecturer (see above). Procedures and guidelines for spousal appointments can be found in the section on recruitment.
Template Letter of Offer
The PPAA allows for grant-funded CLTAs who are individuals supported 75% or greater from designated outside grants. These individuals are exempt from the five-year maximum term but in no case should the term of the appointment exceed the term of the grant. Divisions are not required to undertake a full search since the requirements of the grant may necessitate the hiring of particular individuals. Copies of all letters of appointment must be provided to the Office of the Vice-Provost, Faculty & Academic Life.
